Volunteer Info: Process to Sub your Job
Hi Everyone,
We are getting ready to start our season! Time Trials will take place this coming Saturday and serve as our first unofficial meet, where we compete against ourselves: half the team will be teal and the other half pink. See a separate email with information regarding meets.
Below will be the process if you find your family in need of changing jobs.
Ultimately, it is the family’s responsibility to cover their committed job shifts. Families who cannot attend their assigned job/s MUST FIND their own sub AND notify the Volunteer Coordinator via email at least TWO days prior to the meet/event WITH NAME/S of replacement/s. This is why families are asked to write the first (and hopefully only) $200 meet check for volunteering. All subs must be at least 18 years of age.
If you need to make changes to the jobs you signed up for, you have a lot of options:
- Post your request/need for change to the Swim WhatsApp chat
- Ask another swim family you know
- Ask your family member who support your swimmer to help out
- Ask a friend of the family
- Ask a neighbor
The process to notify the Volunteer Coordinator that your family has a replacement adult to cover a shift is is below:
1. It is best to have any changes made as much in advance as possible.
2. Make sure you make the change/s TWO DAYS MINIMUM PRIOR to the meet or the event, (that’s Wednesday before Saturday [the two days prior are the Thursday and Friday before the meet])--all changes need to be made by 7 pm the Friday before the Saturday: changes will not be made day of without penalty.
3. Step 1, Send an email to [email protected] with the substituting adult/s CCed.
4. Step 2,In the email, list the following:
- Date of job
- Description of job
- Time of job
- Who was the original adult schedule to do the job
- Who is the substituting adult needed to be scheduled to do the job
5. Check email for response from Volunteer Coordinator, as your request will be confirmed or questions might be asked.
6. After response, run your volunteer report to make sure changes are correct.
